Entry-Level Administrative Services Coordinator

Key Responsibilities
- Orchestrate meeting calendars, video conferences, and executive briefings—anticipating conflicts before they arise.
- Monitor supply inventories, negotiate with vendors, and process purchase orders to keep cost-per-unit within targets.
- Receive, sort, and route incoming mail and electronic correspondence within strict SLAs.
- Maintain digital and physical filing systems that comply with internal audit standards.
- Reconcile basic departmental budgets, flag variances, and prepare month-end expense summaries.
- Serve as the first point of contact for stakeholder inquiries, delivering concise, customer-centric answers.
- Support onsite and virtual events—draft agendas, book venues, coordinate catering, and capture action items.
- Partner with HR and IT to onboard new employees—issue credentials, arrange equipment, and schedule orientation sessions.
- Identify workflow bottlenecks and propose automation scripts or low-code tools to streamline repetitive tasks.
- Contribute to a culture of continuous improvement through weekly retrospectives and knowledge-sharing sessions.
Required Qualifications
- Bachelor’s degree in Business, Information Systems, or related field.
- 0–2 years of administrative coordination, office management, or equivalent internship experience.
- Proficiency with Microsoft 365 (Excel formulas, PivotTables, PowerPoint storytelling, Outlook rules).
- Familiarity with collaboration platforms such as Slack or Microsoft Teams.
- Solid written and verbal communication; you translate complex requests into clear action items.
- Proven ability to juggle multiple priorities without missing deadlines.
- Analytical mindset; you spot trends in data and suggest evidence-based improvements.
Preferred Extras
