Front Office Assistant – Entry-Level Administrative Support
You will be the first point of contact—virtually and onsite—for clients, partners, and team members. Using cloud phone systems, video reception software, and Microsoft 365, you’ll ensure smooth, friendly, and professional interactions that reflect our high-performance culture.
Key Tasks
- Welcome visitors, verify appointments, and direct them to the correct team.
- Answer, screen, and route calls using VoIP and digital receptionist platforms.
- Coordinate meeting schedules, reserve conference rooms, and manage shared calendars.
- Process incoming and outgoing mail, parcels, and digital correspondence.
- Perform accurate data entry into CRM, HRIS, and inventory databases.
- Maintain organized electronic and physical filing systems.
- Prepare brief memos, visitor logs, and daily activity reports.
- Support onboarding activities for new hires and vendors.
- Troubleshoot basic office tech issues and liaise with IT when needed.
- Champion a tidy, well-supplied front office environment—onsite or remote.
Required Skills & Qualifications
- Bachelor’s degree or equivalent experience in business, communication, or technology.
- 0-2 years in an administrative or customer-facing role (internships count!).
- Fluent in Microsoft Word, Excel, Outlook, and Teams; quick to learn new SaaS tools.
- Clear, confident verbal communication and professional writing abilities.
- Outstanding time management, prioritization, and follow-through.
- Keen attention to detail and error-free data entry.
- Calm multitasker who thrives amid shifting priorities.
- Authorized to work in the United States.
Preferred Extras
- Familiarity with Google Workspace, Slack, or Zoom Phone.
- Experience supporting distributed or hybrid teams.
- Basic knowledge of CRM platforms (Salesforce, HubSpot).
- Conversational Spanish or other second language.
